Privacy policy

SEA LOGIC PTY LTD (ACN 106 524 547), trading as Sea Logic, handles personal information when responding to enquiries and arranging freight services for Australian importers and exporters.

This policy explains how we collect, use, hold and share that information, and how you can contact us about your privacy. It covers website visitors, customers, people involved in shipments, and our supplier and partner contacts.

In brief: we use relevant contact and shipment information to answer your questions and coordinate the services you request. Freight involves other parties, including carriers, customs authorities and overseas agents. We share information relevant to those services, support our records through website and email providers, and restrict access to authorised people.

1. Information we collect

The information needed depends on your enquiry and shipment. It includes:

  • Contact and business details: your name, business, role, email, telephone number, and relevant collection, delivery or billing address.
  • Shipment information: origin, destination, goods, quantities, timing and service requirements, together with relevant shipper, consignee and authorised contact details.
  • Documents and correspondence: relevant details in bookings, commercial invoices, packing lists, transport or customs documents, service instructions and communications with us.
  • Website and delivery records: information generated when accessing the website or submitting an enquiry, such as server request records, submission identifiers, abuse-prevention identifiers and email delivery records.

Only include information relevant to the task. Do not send identity documents, bank details, passwords or sensitive personal records through the initial quote form. If additional documentation is needed for a service, contact our team to agree an appropriate way to provide it.

2. How we collect it

We collect information directly through website forms, email, telephone calls and shipment instructions. To coordinate a shipment, we also receive relevant information from your authorised representatives, shippers, consignees, carriers, customs or transport providers and overseas agents.

If you give us someone else’s personal information, make sure you have appropriate authority to share it and, where appropriate, let them know about this policy.

You can ask general questions without identifying yourself where practical. We need sufficient contact and shipment information to provide a personalised quote or arrange a service. Without it, we may be unable to assess your requirements, contact you or proceed.

3. Why we use it

We use personal information to respond to enquiries, prepare quotes, arrange agreed import and export services, coordinate documents and delivery, communicate shipment updates, administer the customer relationship and resolve questions or disputes. We also use relevant records to protect the website from misuse and meet applicable legal requirements.

We request additional information when it is needed for the service, rather than asking for full shipment documentation in an initial enquiry.

4. How we hold and protect it

Website enquiries are kept as private website records, with an email notification to our authorised team at info@sealogic.com.au. Our team handles these enquiries by email. This website enquiry process is not connected to a customer relationship management platform or freight-management system.

We use Kinsta for website hosting and Google Workspace for business email. Our website and email service providers support the storage and transmission of records. Information also exists in relevant operational records, delivery logs and backup copies.

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, alteration or disclosure. These include limiting access to people who need it for their work and maintaining appropriate account and system safeguards. No online transmission or storage system can be guaranteed completely secure.

5. Who receives it

Authorised Sea Logic personnel use information for the purposes above. Depending on the services you request, relevant details are shared with:

  • shipping lines, airlines and other carriers;
  • overseas forwarding agents and shipment partners;
  • customs brokers, customs and biosecurity authorities, and other authorities involved in the movement;
  • port, terminal, handling, transport, warehouse and delivery providers; and
  • website, email and technical providers supporting our systems and communications.

We disclose information where required or authorised by law. Sharing information to arrange freight does not give recipients permission from us to use it for unrelated marketing.

6. Overseas handling

To arrange international freight, Sea Logic may share relevant personal information with overseas carriers, agents, licensed brokerage partners and delivery partners. The recipients and their locations depend on the shipment’s origin, destination, transit points and agreed services. Contact us for information about overseas handling for your particular shipment.

Website, email and technical services can also involve overseas processing, support or storage. These arrangements are separate from the countries through which goods travel. We consider privacy obligations when arranging overseas handling and do not treat an enquiry as a blanket waiver of your privacy rights.

Our website is hosted with Kinsta in Melbourne. Kinsta identifies the United States as a location for processing IP addresses and other website access-log information. Hosting in Melbourne does not mean all technical records remain in Australia. Google Workspace email and associated support can also involve processing outside Australia; we do not represent our email storage as Australian-only.

Provider arrangements can change. Further information is available in Kinsta’s subprocessor disclosure and Google Workspace’s subprocessor disclosure. These provider lists describe their services generally, not a claim that every listed provider handles every Sea Logic record.

7. Website technology and choices

Website hosting and security services process technical request records to deliver pages, investigate errors and help prevent misuse. Our enquiry form uses submission identifiers to help prevent duplicate records and an identifier derived from an IP address to limit repeated submissions. These operational functions are separate from advertising or audience measurement.

With your permission, we use Google Analytics to understand website visits and measure saved enquiries, telephone-link clicks and email-link clicks. Optional analytics does not load until you accept it. Rejecting analytics does not prevent you from browsing or sending an enquiry. A link click does not tell us whether a call or email was completed.

The analytics setup uses page and interaction information, not the names, email addresses, phone numbers or shipment descriptions entered in the enquiry form. Google processes technical information when its analytics service is used. Our selected setup does not include Google Ads tags or Google Signals, and keeps advertising-consent settings denied.

We remember your analytics choice in this browser for up to six months. You can change it through Cookie preferences in the website footer. Withdrawing consent stops further optional measurement through this setup; it does not reverse information already transmitted. Other browsers and devices have their own choices. Browser restrictions or cleared website data can mean we ask again.

Your browser provides controls for cookies and stored website data. Blocking necessary website functions can affect how a form or other feature works; you can contact us by email or telephone instead.

8. Marketing communications

Requesting a quote or receiving shipment updates does not subscribe you to unrelated marketing. If we send you a marketing communication, we will do so on an appropriate lawful basis and provide a way to opt out. You can also contact management to ask us to stop marketing messages. Necessary communications about an enquiry or an agreed service are separate.

9. How long we keep it

Management reviews initial enquiry records after 90 days. We delete or de-identify information that is no longer needed and is not subject to an applicable retention requirement. This is a review point, not automatic deletion after 90 days.

Information that becomes part of an active shipment, customer relationship, financial record, dispute or legal retention requirement can need to be kept longer. We consider the purpose and applicable requirements when deciding whether to retain it.

Website records, email, technical logs and backups can have different retention arrangements. Removal of a working record does not mean every backup copy is immediately erased.

10. Access, correction and complaints

Contact management to request access to personal information we hold about you, ask for a correction, or raise a privacy complaint. Tell us what you would like reviewed and how we can contact you. If making a written request is difficult, telephone us for assistance.

We may need to verify your identity or authority before providing information or making changes. Do not send identity documents unless we have first discussed what is necessary and how to provide them.

We aim to respond to requests and complaints within 30 calendar days. If more time is needed, we will explain why and keep you informed. We will assess a complaint, seek further information where necessary, and explain the outcome and any action we propose. If we cannot provide access or make a requested correction, we will explain the reasons and available review options, subject to applicable law.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner for information about available privacy complaint options. Eligibility depends on the applicable law and circumstances.
